Administrative Coordinator – Full-Time – San Diego or Tijuana Based

The Global Immersion Project is a peacemaking organization that is training people of faith to engage our divided world in restorative ways.

Global Immersion has recently been described as a “lean, non-religious, Jesus-centered peacemaking training organization with a razor sharp mission that is reshaping the thought and practice of American Christianity.” Over the last eight years, we’ve trained thousands of faith influencers from coast to coast through online resources, immersive training environments, workshops, writing/speaking, and coaching & consulting relationships in the ways that make for peace.  As a result, an eco-system of Everyday Peacemaking is springing to life in homes, churches, boardrooms, universities, and cities throughout the country.  The movement looks like pastors, poets & parents, teachers & artists, and students & grandparents joining God’s restorative mission in subtle and profound ways.  The next phase of Global Immersion’s life is dawning and we couldn’t be more excited for what’s to come. The Role Description

Reporting to the Co-Founding Directors, the Administrative Coordinator of Global Immersion is an essential role for managing and executing our organizational infrastructure.  You are the first point of contact for all current and future clients as well as the primary liaison between the Global Immersion team and our global peacemaking network.  This role is responsible for coordinating all projects, streamlining internal communications, managing our financial systems, and enhancing our organizational structure.

The Role & Its Responsibilities

  • Internal Organizational Responsibilities
    • Contribute to the development of strategic goals and objectives of the organization.
    • Utilize our existing administrative tools and research new ones in order to ensure maximum efficiency of our administrative infrastructure.
    • Create and manage contracts for speaking engagements, immersion trips, workshops, and all other organizational initiatives.
    • Coordinate team members’ travel & logistics (flights, lodging, fees) for conferences, speaking engagements, networking, fundraising, etc.
    • Manage and updated Global Immersion’s calendar and contact database.
    • Receive, respond to and/or route incoming correspondence from existing and inquiring clients to the appropriate team member.
    • Order and manage all supplies & resources for hospitality, program, and merch tables as needed.
    • Take notes during staff meetings and communicate weekly with the Global Immersion team regarding progress and next steps.
    • Other administrative duties based on the current needs/projects of Global Immersion, including occasional travel to exhibit or support other organizational initiatives.
  • Financial Responsibilities
    • Understand and manage the relationship between Thresholds (fiscal sponsor) and Global Immersion systems.
    • Upgrade and implement appropriate financial systems, policies, and procedures.
    • Oversee the annual budget under supervision of co-founding directors and alongside our Financial Coordinator.
    • Participate in quarterly budget planning processes.
    • Prepare, analyze and present financial reports.
    • Generate, manage, and reconcile fund reports at the conclusion of each initiative.
  • Immersion Trip Coordination
    • Facilitate all logistics, organize itineraries, and communicate consistently with international peacemakers, curators, and participants for all Immersion Trips.
    • Load, organize, and manage all online learning platforms.
    • Coordinate with Staff and Immersion Trip Curators to keep projects on task, on time, and meeting expectations.
    • Manage logistics, ensure inventory, and order supplies for all Immersion Trips (& other initiatives).
    • Manage and update participant rosters with up-to-date payments and balances due.
    • Manage and reconcile Project Budgets in coordination with the general Global Immersion Budget.
    • Support our Project Coordinator in preparing resources for each Immersion Trip.
    • Be available during Immersion Trips to support staff in troubleshooting and problem solving.
    • Design and send pre & post emails with resources to all participants.
    • Collate and communicate the key learnings from evaluations.
    • Utilizing our evaluations, facilitate post-immersion/event interviews in order to learn from our participants what the next step resources and experiences they require.
    • Support the team in executing the follow-up strategy with peacemakers and guests.
    • Facilitate an evaluation call with leaders who have convened immersion trips to learn of transformation/impact and to debrief the experience with them.
